A few years ago, I worked in a plumbing company. First as a part-time labourer, and later took on the role of part-time admin assistant in addition to still being a part-time labourer. And if there’s one thing I learned fast, it’s how chaotic paperwork can get when you're busy trying to run a real business.
I saw jobs get delayed or lost because guys couldn’t pull together something official in time.
I saw document numbers get reused or skipped altogether.
And initially? There was no reliable system to store files , just a flash drive filled with uncategorized, generically named documents.
Whenever a client asked for something like “the last invoice” or we needed to reference to a past job, we’d have to scramble and dig.
And guess what? Eventually, that flash drive caught a virus and all the documents were lost.
One moment that stuck with me?
One day, a service provider who offered welding and fabricating services called me out of nowhere, with urgency and panic.
His potential client was ready to hand over a job… but only if he but he had to provide an official quotation.
